The Finance and Administrative Assistant will provide assistance to the Finance Manager in day-to-day running of the finance office. This on-site role is based in Accra, Ghana.
Responsibilities
Finance & Compliance
- Receive, review, and route invoices for approval; assist with accurate data entry and timely processing
- Match invoices to purchase orders and receipts; research and resolve discrepancies in collaboration with stakeholdersÂ
- Maintain organized and compliant accounts payable documentation and records
- Assist with monthly bank reconciliations and financial recordkeeping
- Support internal controls by ensuring adherence to company financial policies and procedures
- Invoice Reconciliation: Reviewing vendor invoices against purchase orders and delivery notes (three-way matching) before submitting them to the finance team for payment processing.
- Cost Analysis: Analyzing procurement spend patterns, tracking cost-per-unit metrics, and identifying strategic opportunities to cut operational expenses.
- Regulatory & Policy Compliance: Ensuring all procurement activities align with internal corporate governance policies, anti-bribery standards, and local commercial law.
Administration
- Oversee and supervise the administrative function of the organization including reception, property/facility management, safety of the work environment, and provision of furnishings and equipment necessary for effective operations
- Oversee the management of all contracts and other financial commitments
- Monitor all legislation relevant to the organization (employment standards, occupation health and safety, etc.) and all regulations on professional certification to ensure that the organization is compliant
- Assist with the management of G&A on a day-to-day basis
- Assist with the periodic review of personnel files to ensure completeness and follow up on actions required
- Initiate action, prepare and follow-up on procurement requests for both client projects and internal needs
Procurement & Sourcing
- Supplier Selection & Evaluation: Researching, identifying, and vetting potential vendors and suppliers based on price, quality, delivery speed, and reliability.
- Negotiation: Bidding and negotiating contract terms, pricing, payment schedules, and Service Level Agreements (SLAs) with suppliers to maximize cost savings.
- Purchase Order (PO) Processing: Reviewing internal purchase requisitions, verifying budget approvals, and issuing formal purchase orders to vendors.
- Contract Management: Monitoring active vendor contracts to ensure compliance with agreed-upon terms, and managing renewals or terminations.
Supply chain & Logistics Coordination
- Freight & Transport Management: Coordinating with shipping partners, freight forwarders, and local couriers to arrange the domestic or international transport of goods.
- Customs Clearance: Preparing, reviewing, and managing shipping documentation (e.g., bills of landing, commercial invoices, import/export permits) to ensure compliance with customs regulations and minimize transit delays.
- Tracking & Inbound Logistics: Monitoring shipments in transit, troubleshooting logistical bottlenecks, and providing updates on estimated delivery times to internal teams.
Inventory & Warehouse Oversight
- Inventory Control: Monitoring stock levels to prevent stockouts of critical materials while minimizing excess inventory that ties up working capital.
- Receiving & Quality Assurance: Overseeing the receipt of inbound goods, ensuring the delivered items match the purchase order in both quantity and quality, and managing returns for damaged or incorrect items.
- Storage Optimization: Working with relevant stakeholders to ensure goods are stored safely, systematically, and in optimal conditions (especially for fragile or sensitive items).
Qualification
- Bachelor’s degree in Accounting, Finance and Economics.
- 2 years of professional experience in accounting preferably in private sector or proven proficiency in accounting skills
- Excellent organizational and time management skills with the ability to manage multiple priorities
- High attention to detail and accuracy, particularly in financial documentation
- Clear and professional written and verbal communication skills
- Ability to handle confidential and sensitive information with discretion
- Strong interpersonal skills and a service-oriented mindset
- Ability to work quickly, effectively and productively under pressure
- Ability to work independently while knowing when to escalate issues
- Proficiency in Microsoft Office (Excel, Outlook, Teams, etc.) and accounting software
